Terms of Service

1. Agreement

These Terms of Service ("Terms") govern your access to and use of EasyInvoices (the "Service"), including our website, dashboard, and WhatsApp integration. By using the Service, you agree to these Terms and our Privacy Policy.

2. Who may use the Service

You must be able to form a legally binding contract to use the Service. If you use the Service on behalf of a business, you represent that you have authority to bind that business to these Terms.

3. Your account

• Access and security: you are responsible for maintaining the confidentiality of your account and for all activity under your account.
• Accurate information: you agree to provide accurate business details used on invoices/quotes and to keep them updated.
• WhatsApp number: messages from your WhatsApp number are used to link conversations to your account.

4. Fair use and acceptable use

You may use the Service for legitimate invoicing and quoting. You agree not to:

• Use the Service for unlawful, harmful, or fraudulent activities, including creating false invoices, scams, or impersonation.
• Upload or transmit viruses, malware, or attempt to probe, scan, or test the vulnerability of our systems.
• Interfere with or disrupt the Service, including abusive automated traffic, rate-limit evasion, or attempting to reverse engineer the Service.
• Use the Service to send spam or unsolicited messages, including via WhatsApp.
• Use the Service in a way that violates Meta/WhatsApp policies or terms.

We may throttle, suspend, or terminate accounts that exceed reasonable usage or violate these Terms.

5. WhatsApp and third parties

Our WhatsApp integration uses Meta's WhatsApp Business Platform. Your use of WhatsApp is also governed by Meta/WhatsApp terms and policies. Third-party services (such as Supabase, Meta/WhatsApp, Google Gemini, PayFast, and Yoco) may process certain data to provide the Service.

6. AI-assisted extraction

The Service may use AI (for example, Google Gemini) to extract invoice/quote details from your messages. You are responsible for reviewing and confirming the accuracy of generated invoices, quotes, and payment links before sending them to your customers.

7. Subscriptions and billing

• Plans: features may vary by plan. Plan limits may apply (for example, invoice volume).
• Payments: subscriptions are processed by PayFast. You authorize PayFast to charge your selected payment method according to your chosen billing interval.
• Renewals and cancellation: subscriptions may renew automatically unless cancelled. You can manage your subscription in the dashboard.

8. Payment links (optional)

If you enable invoice payment links, you may connect a payment provider (e.g. Yoco or PayFast). Payments made via those links are processed by the provider and are paid directly to your account with that provider. We do not act as the merchant of record for those payments and do not hold customer funds.

9. Intellectual property

We and our licensors own the Service and all related intellectual property. You own the content you submit (such as invoice data). You grant us a limited license to use that content only as needed to provide and improve the Service.

10. Disclaimers

The Service is provided on an "as is" and "as available" basis. We do not guarantee uninterrupted operation or that outputs will be error-free. You are responsible for ensuring invoices, quotes, taxes (including VAT), and compliance are correct for your business.

11. Limitation of liability

To the maximum extent permitted by law, EasyInvoices will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenue, data, or goodwill, arising from or related to your use of the Service.

12. Suspension and termination

We may suspend or terminate your access to the Service if you violate these Terms, if required by law, or to protect the Service and other users. You may stop using the Service at any time.

13. Changes to these Terms

We may update these Terms from time to time. We will post the updated version on this page and update the "Last updated" date.
